The following privacy notice applies to Warwickshire County Council’s Road Safety Education Team. It should be read in addition to the Council’s overall Customer Privacy Notice.
 

Purpose for processing

Warwickshire County Council (WCC) Road Safety Education Team is committed to enhancing road safety through collaborative efforts with partners and stakeholders.

The Road Safety Education Team will use your personal information to develop, deliver and manage road safety educational activities to raise road safety awareness, improve road user behaviour and reduce the number of incidents, fatalities and serious injuries on Warwickshire’s roads.

To carry out this work, activities include:

  • Developing and delivering road safety educational initiatives and training in schools and communities.
  • Processing road safety enquiries.
  • Supporting the work of the Warwickshire Road Safety Partnership.
  • Delivering public engagement events
  • Surveys, online and face to face, to monitor and evaluate initiatives and services.
  • Offering related services in partnership with Warwickshire Rad safety partnership and contracted suppliers.
  • Evaluating and quality assuring our services
  • Providing newsletters and mailing lists

We may also use information in other ways compatible with the above.

Personal information collected and lawful basis

We may process personal information this may include but is not limited to:

  • Name
  • Contact information (address / email / telephone number)
  • Age / DOB
  • Business or school name
  • Financial details (where applicable for grant funding or payments)

The lawful basis for processing personal information is:

  • Tasks carried out in the public interest or in the exercise of official authority
Who we may share your information with

Occasionally, we may need to share the personal information you have given to us or we’ve collected about you with partner organisations. These include but are not limited to:

  • Warwickshire Road Safety Partners involved in shared road safety initiatives (Primarily Warwickshire Police, Warwickshire Fire and Rescue Service, Office for Police and Crime Commissioner)
  • Training Providers (such as those who provide on-road driver training and Bikeability cycle training)
  • Grant Providers (such as Bikeability Trust)
  • Warwickshire County Council teams involved in shared road safety initiatives and outcomes.
  • Commissioned partners involved in shared road safety initiatives and outcomes.

We do have specific data sharing agreements in place with local agencies and sometimes the law requires that we may have to pass your details on to a third party, for example, to prevent crime.

Information will only ever be shared when it is strictly necessary to help us provide effective services, and you may have the right to refuse. We will not pass it onto any other parties unless required to do so by law or in all reasonable circumstances the disclosure is fair and warranted for the purposes of processing or subject to a legal data protection exemption.

How long we will hold your information

We will hold relating to road safety awareness, including training courses provided, safety audits, fines and road traffic collisions for a period of no fewer than 12 months and no greater than six years depending on the type of record it relates.  All retention periods are in accordance with the Road Traffic Act 1988, the Limitations Act 1980 and the Association of Chief Police Officer (ACPO) Guidelines on forensic and digital evidence retention.

Please note - all stated retention periods will be subject to any legal holds imposed under the Inquiries Act 2005 that may concern the information and override standard retention.
