The following privacy notice applies to the administration of the Concessionary Travel scheme in Warwickshire. It should be read in addition to the council’s overall Customer Privacy Notice.

Purpose for processing

We collect your information:

  • in order to check eligibility for a bus pass
  • to issue bus passes
  • for the ongoing management of passes

We may contact you about it for quality purposes, for reviewing the local scheme, for planning for the future, for research and statistical purposes

Data about all journeys is recorded and information about journeys undertaken by individual passes can be tracked using the unique identifier on your pass. This information is used to calculate reimbursements for bus service operators and to check that they are complying with the scheme.

  • Name
  • Address
  • Date of birth
  • Gender
  • Contact telephone numbers
  • Email address
  • Photograph
  • NI number

Special category (sensitive) information collected:

  • Details of disabilities
  • Records of changes to personal circumstances, e.g. change of name and reason

Our lawful basis for processing this personal information is:

  • Public task for official function with clear basis in law
  • Public interest based on law

Who we may share your information with

We will share your information with:

  • Our contractors, SmartCitizen Ltd and Euclid Ltd, for the purposes of issuing and managing your bus pass.

Your information may also be shared:

  • Internally with other Warwickshire County Council (WCC) services and with partner organisations (e.g. district and borough councils) in order to improve the service you receive from us or for safeguarding purposes.
  • With other organisations for the prevention and detection of crime.
How long we will hold your information
  • Bus pass records will be kept for five years after most recent pass was cancelled or expired.
  • Refused / withdrawn applications due to ineligibility or fraud will be kept for five years from file closure.
  • Abandoned applications not subject to fraud will be kept for 6 months from last contact. An application will be marked as abandoned after 3 months of no contact.

Please note: all stated retention periods will be subject to any legal holds imposed under the Inquiries Act 2005 that may concern the information and override standard retention.
