Privacy notice

The following privacy notice applies to the processing of personal information by Warwickshire County Council’s Customer Relations service. It should be read in addition to the council’s overall Customer Privacy Notice

Purpose for processing

We have a legal obligation to look into matters raised by our citizens. This includes comments, complaints, compliments and questions. For significant legislation and associated regulations governing our processing see:

  • Representation Procedure Reg 2006
  • The Local Authority Social Services and National Health Service Complaints (England) Regulations 2009
  • The Local Government Act 1974 (Part III)
Personal information collected and lawful basis
  • Personal details (e.g. name, email, contacts, address, date of birth)
  • Personal reference numbers  (e.g. NHS Number, NI number)
  • Financial details
  • Family details
  • Employment details (including job applications)
  • Lifestyle and social circumstances information
  • Visual images, personal appearance and behaviour e.g photographs
  • Licences or permits held
  • Student and pupil records
  • Business activities
  • Case file information (including complaints)
  • Physical or mental health details (including health and social care records)
  • Racial or ethnic origin
  • Trade union membership
  • Political affiliation
  • Political opinions
  • Offences (including alleged offences) criminal proceedings, outcomes and sentences religious or other beliefs of a similar nature
  • Religious or other beliefs of a similar nature

How long we will hold your information

Comments and Compliment information will be held for 1 year from the date that the matter was resolved. Complaints and representation information will be held for 6 years from the date that the matter was resolved.

Please note: all stated retention periods will be subject to any legal holds imposed under the Inquiries Act 2005 that may concern the information and override standard retention.
