The following privacy notice applies to services provided by Children’s Centres commissioned by Warwickshire County Council. The two main providers are:

  • Barnardo’s
  • St Michael’s Children’s Centre, Bedworth
Purpose for processing

This service provides access to Children’s Centres and support in order to improve the outcomes and life chances for children and their families.

Personal information collected and lawful basis

The personal information we collect includes:

  • Personal details – e.g. name / age / address / school / and family details
  • Contact information – e.g. telephone numbers / email address
  • GP details
  • Employment details
  • Financial details
  • Lifestyle and social circumstances

The legal bases for processing this personal information are:

  • Compliance with a legal obligation*
  • Tasks carried out in the public interest or in the exercise of official authority
  • Explicit consent**

* Childcare Act 2006.

** We may use videos / photographs with the explicit consent of the subject.

Who we may share your information with

The information provided will be kept on the Children’s Centre database. It will be used to register your attendance at our services, for monitoring and evaluation purposes, and for the effective provision of a range of Children’s Centre services for your family. This information will be used to help plan services and provide anonymous statistical information about our work with families. The information may be shared across the extended Children’s Centre teams, which includes health and social care staff, to ensure you receives the best possible services.

Occasionally, we may need to share the personal information you have given to us or we’ve collected about you with partner organisations. These include but are not limited to:

  • Government departments i.e. Department of Education
  • Public Health England
  • Health / GPs / NHS
  • Compass for School Health & Wellbeing Service and South Warwickshire Foundation Trust for Health Visiting

We do have specific data sharing agreements in place with local agencies and sometimes the law requires that we may have to pass your details on to a third party, for example, to prevent crime.

Information will only ever be shared when it is strictly necessary to help us provide effective services and you may have the right to refuse. We will not pass it onto any other parties unless required to do so by law or in all reasonable circumstances the disclosure is fair and warranted for the purposes of processing or subject to a legal data protection exemption.

If we are concerned about the wellbeing of any child and think they may be at risk, we have a duty to share our concerns with Warwickshire Children’s Services. We will tell you that we are doing this, if it is safe to do so, and will support you in talking to Warwickshire Children’s Services if you want us to.

How long we will hold your information

For adults, information will be kept for 7 years after services have stopped being used. For children, information will be kept for 25 years after their date of birth.

Please note: all stated retention periods will be subject to any legal holds imposed under the Inquiries Act 2005 that may concern the information and override standard retention.

Your information rights

You have the right to:

  • request a copy of your personal information held by the Children’s Centre
  • request any errors in your personal information be corrected and processing of it be restricted until corrections completed
  • request the erasure of your personal information, depending on the service and lawful basis
  • object to the processing of your personal information, depending on the service and lawful basis
  • to be informed of automated decision making, including profiling for the service

NHS and care services

Warwickshire County Council works with other health and social care organisations to share information that will form part of your Integrated Care Record. The Integrated Care Record allows health and care professionals involved in your care to view your records to help them understand your needs and make the best decisions with you, and for you. Information we hold about you will be available, to read only, to other health and care professionals in Coventry and Warwickshire, Birmingham and Solihull, and Herefordshire and Worcestershire when they are involved in your health or social care.
